A live photo wall is one of the easiest ways to turn your event guests into active participants. Instead of simply watching what’s happening, guests can share their own photos and see themselves, their friends, and other attendees appear on a big screen in real time.
And here’s the best part: setting up a live photo wall doesn’t need to be complicated, expensive, or require a technical team.
At memoryKPR, we’ve helped events of all sizes use live photo walls, from concerts and festivals to major sporting events like the Grey Cup. We’ve learned that while technology is important, the real magic happens when people start seeing themselves on screen.
There’s something about seeing your friends on a giant screen that makes you want to get your own picture up there too!
In this guide, I’ll walk you through how to set up a real-time photo wall, what equipment you’ll need, how to encourage guests to participate, and some lessons we’ve learned from working with event organizers.
What Is a Live Photo Wall?
A live photo wall is a digital slideshow that displays photos contributed by guests during an event.
Typically, guests scan a QR code with their phones or text a gallery number, upload their pictures, and watch as those photos appear on a large screen, television, or projector.
Unlike a traditional slideshow that contains a predetermined collection of images, a real-time photo wall continually adds new content as guests contribute.
Live photo walls are especially effective for:
- Concerts and music festivals
- Conferences and corporate events
- Sporting events and tournaments
- Fundraisers and charity galas
- Weddings and celebrations
- Community festivals
- Employee appreciation events
- Tourism and destination experiences
They give guests an opportunity to become part of the event experience rather than simply observing it.
How to Set Up a Real-Time Live Photo Wall in Under a Minute
One of the biggest misconceptions about live photo walls is that they require complicated technology or expensive equipment.
With the right software, the setup is surprisingly simple.
At memoryKPR, we’ve designed our live photo wall to take less than a minute to activate once you’ve created your account.
Step 1: Create Your Photo Album
Start by creating a memoryKPR account and opening a new album for your event.
Give your album a recognizable name, such as “Summer Music Festival 2026” or “Company Holiday Celebration.”
You can use a free account for smaller events, with paid options available for larger collections of photos.
Step 2: Enable Guest Contributions
Set your album to public and enable guest contributions.
This allows attendees to upload photos directly to your event album using a QR code or link.
With memoryKPR, guests don’t need to download an app or create an account to contribute.
This is important because every additional step you ask guests to complete reduces the likelihood they’ll participate.
Step 3: Add Some Photos Before Going Live
Here’s a tip we’ve learned from experience: don’t start with an empty slideshow.
We recommend adding at least 15 to 20 photos before displaying your wall.
These might include pictures of your volunteers, staff, performers, or guests arriving at the event.
More importantly, make sure the pictures include people having fun.
I’ll explain why this matters later, but trust me, it makes a significant difference.
Step 4: Launch Your Live Slideshow
From your memoryKPR album menu, simply select the slideshow option.
A new window will open with your live photo wall.
As guests contribute photos to the album, the slideshow automatically updates with the new content.
You can choose whether photos appear immediately or require approval first.
Step 5: Connect Your Screen
Display your slideshow on any internet-connected device or connect your computer to a larger screen.
Common options include:
- Large televisions
- Projectors
- LED event screens
- Venue display systems
- Computers or tablets
You can use an HDMI connection, compatible casting technology, or a browser on an internet-connected display.
Once your screen is connected, you’re ready to go.
Step 6: Share Your QR Code
Make it easy for guests to find your album and contribute.
Place QR codes on signage, tables, programs, or other visible locations throughout the venue.
If your screen layout supports it, keep the QR code visible on the big screen so guests can scan it while watching the slideshow.
The easier you make it for people to participate, the more content you’re likely to gather.

Can You Create a Live Photo Wall for Free Using Google Photos or Dropbox?
Yes, although there are some limitations.
If you’re hosting a small event and don’t want to use dedicated photo wall software, Google Photos or Dropbox can provide a basic alternative.
However, Google Photos wasn’t specifically designed to operate as an automatically updating event photo wall.
How to Set Up a Google Photos Event Slideshow
- Create a shared album in Google Photos.
- Enable collaboration so other people can contribute pictures.
- Generate a QR code linking to your shared album.
- Display the QR code around your event.
- Connect a laptop to your event screen.
- Open the album and launch its slideshow.
- Periodically refresh or restart the slideshow to incorporate new pictures.
This can work for smaller gatherings where someone is available to manage the display.
Limitations of Using Google Photos
There are a few things to consider:
- Guests may need a Google account to contribute photos.
- New photos may not appear automatically in an already running slideshow.
- There isn’t a dedicated approval queue to review contributions before other album collaborators can see them.
- You’ll likely need someone monitoring and refreshing the slideshow.
- Google Photos doesn’t provide the same event-specific guest contribution and content management features as dedicated software.
For a small family gathering, these limitations might be manageable.
For a concert, conference, or public event, I’d recommend using software designed for live photo walls, especially if you want the slideshow to update automatically.
What We’ve Learned From Real Events Using Live Photo Walls
We’ve had the opportunity to work with some wonderful events using memoryKPR’s live photo wall, including The Beaches concert, Shake the Lake, Vernon Beer and Cider Fest, and the Grey Cup.
These events have different audiences, sizes, and environments, but we’ve noticed a common pattern when we ask the question – what makes people willing to share pictures of themselves.
Once guests start seeing themselves and their friends on the screen, participation becomes contagious.
People start getting goofy, posing for pictures, and encouraging their friends to submit photos.
Instead of simply being a display, the wall becomes part of the entertainment.
And the organizers love it because they’re collecting a tremendous amount of authentic guest-generated content at the same time.
The Big Screen Effect
One of the most interesting things we’ve observed is how much people enjoy seeing themselves on a big screen.
At concerts and festivals, guests see other attendees appearing in the slideshow and naturally want to join in.
It’s almost a friendly competition to get your face up there.
And unlike asking people to post on social media with a hashtag, contributing to a live photo wall gives them an immediate reason to participate.
They aren’t just sharing a picture. They’re becoming part of the show.
Adding Value for Sponsors
We’ve also seen event organizers incorporate sponsor slides into their live photo walls.
These slides rotate throughout the guest photos, giving sponsors visibility while keeping the audience entertained.
It’s a simple way to add sponsor recognition to an activation that’s already attracting attention.
And unlike static sponsor signage, a photo wall gives guests a reason to keep looking at the screen.
Six Tips for Getting More Guests to Share Photos
After working with a variety of events, we’ve learned that getting people to contribute isn’t just about putting up a QR code.
It’s about creating the right environment.
1. Start With 15 to 20 Great Photos
This is probably one of the most important pieces of advice I can give.
Nobody wants to go first.
If guests see an empty slideshow, they may hesitate to contribute.
But if they see a collection of fun photos featuring other attendees, they’re much more likely to join in.
We recommend having volunteers or staff take and upload pictures before the event really gets going.
2. Show Faces, Not Just Things
The photos you start with set the tone.
If your slideshow is filled with pictures of the stage, merchandise, signage, or decorations, guests may assume that’s what they’re supposed to submit.
And they might be nervous about sharing pictures of themselves.
If you want pictures of people having fun, start by showing pictures of people having fun.
It gives guests permission to be part of the story.
3. Get Your Staff and Volunteers Involved
My biggest recommendation is to get your crew excited about the photo wall.
Have volunteers or staff moving through the crowd, taking pictures, encouraging participation, and having fun with guests.
When your own team gets a little goofy and starts sharing photos, it helps everyone else feel comfortable doing the same.
The technology makes participation possible, but your people create the energy.
4. Give People a Reason to Participate
Sometimes the simple promise of seeing yourself on the big screen is enough.
Other times, a little extra motivation helps.
We’ve seen events encourage participation through photo contests, prizes, and other incentives.
But I think there’s another motivation that’s often overlooked.
People genuinely want to be helpful.
If your event is celebrating a person, supporting a cause, or bringing a community together, explain why their pictures matter.
When guests understand they’re contributing to something meaningful, they’re often more willing to participate.
5. Make the QR Code Impossible to Miss
Don’t rely on one QR code tucked away at the entrance.
Consider placing QR codes on:
- Event screens
- Table tents
- Posters and signage
- Event programs
- Registration desks
- High-traffic gathering areas
And don’t forget to have your emcee or event host remind people to participate.
A simple announcement encouraging guests to get their pictures on the big screen can go a long way.
6. Make Participation Easy
This is where the software you choose really matters.
If guests have to download an app, create an account, remember a password, or navigate a complicated process, many simply won’t bother.
We designed memoryKPR so guests can scan a QR code and contribute without downloading an app or logging in.
The fewer barriers you put between guests and participation, the better.
Should You Moderate Photos Before They Appear on the Screen?
My advice is simple: know your crowd.
For some events, allowing photos to appear automatically is perfectly appropriate.
For others, especially events where alcohol is being served, I strongly recommend turning on content approval.
With memoryKPR, event organizers can choose whether contributions appear automatically or require approval before being published.
This gives you control over what appears on your big screen.
For family-friendly events, corporate gatherings, or events involving children, you should also consider your organization’s privacy expectations and photo-sharing permissions.
A little planning around moderation can prevent an uncomfortable moment during your event.
The Biggest Benefit of a Live Photo Wall Happens After the Event
This is something I wish more event organizers understood.
The value of a live photo wall doesn’t end when the screen gets turned off.
In fact, some of its greatest value comes afterward.
We’ve worked with organizations that tell us their event was incredible, but when it’s time to report back to sponsors, leadership, or stakeholders, they don’t have the pictures to prove it.
They know they created something special, but they have very little visual evidence of what happened.
A live photo wall helps solve that problem.
Show Sponsors What They Helped Create
One of my favourite uses of memoryKPR is when event organizers share their event album with sponsors immediately after the event.
Instead of sending a generic thank-you email, they can share a collection of real pictures showing people enjoying the experience.
The message becomes something like:
“Look what you helped us create. Thank you for being part of it.”
That’s powerful sponsor communication.
It helps sponsors see the people, energy, and experiences their investment supported.
Promote Next Year’s Event
Every event organizer knows how important great photos are when promoting the next event.
But gathering those pictures can be surprisingly difficult.
When you collect photos directly from guests, you build a library of authentic content that can help demonstrate the atmosphere and excitement of your event.
With appropriate permissions, that content can be used for future marketing, sponsor proposals, social media, and promotional materials.
Instead of telling prospective attendees how much fun they’ll have, you can show them.
Create a Lasting Event Archive
There’s also something lovely about having a permanent collection of memories from an event.
For community celebrations, fundraisers, anniversaries, and festivals, those pictures become part of the organization’s history.
They capture moments that a professional photographer might never see.
The spontaneous selfies, the funny moments between friends, and the little experiences that make an event memorable.
With memoryKPR, those pictures remain organized in your event album and digital library, rather than disappearing into social media feeds or scattered folders.
Final Advice: Make Your Live Photo Wall Part of the Experience
If I could give event organizers one piece of advice, it would be this:
Don’t just turn on a photo wall and hope people use it. Get your team involved.
Start with 15 to 20 great pictures. Make sure those pictures include faces and capture the energy you want to create.
Get your volunteers and staff taking pictures, having fun, and encouraging guests to participate.
Put your QR codes where people can see them, remind guests that their photos could appear on the big screen, and give them a reason to contribute.
And remember that you’re doing more than creating entertainment.
You’re collecting the visual evidence of an experience you worked hard to create.
Those photos can help you thank sponsors, attract future attendees, celebrate your community, and remember the moments that made your event special.
If you’re looking for an easy way to get started, memoryKPR lets you create an album, invite guest contributions, and launch a real-time photo wall in under a minute.
Sometimes the simplest event activations create the most memorable experiences.
